KIMEP, International Office is looking for applicants for the following position:

Job Title: Coordinator

Division: Student Affairs

Department: International Office

Position reports to: Director

Job Purpose Summary: Coordinate the work related to (1) international partnership with HEIs abroad for academic mobility of students and staff members (short-term study abroad and exchange programs, dual degree, joint research and teaching experience, internship, training, research), (2) organization and conducting International Office’s social and cultural events for regular international and outgoing students, as well as mobility alumni, (3) promotion of International Office’s activity and dissemination materials, (4) coordination of outgoing/ incoming mobility programs.

Key Responsibilities and Duties:

  • Maintain, review and enhance the International Office's databases, archive, and files
  • Maintain, review and enhance International Office’s guides, handbooks, other informational materials and information on the webpage
  • Oversee and update exchange program information provided by partner universities and KIMEP departments to ensure effective consultation for both inbound and outbound target groups
  • Support the preparation and submission of reports upon request
  • Assist the director in negotiate with international HEIs on academic mobility and internship
  • Assist Colleges and units in searching for international partners on academic mobility
  • Help organizing meetings with international delegations from partner and prospective HEIs at KIMEP
  • Provide support for social events organized by KIMEP units on campus
  • Maintain contacts with embassies/consulates for different cultural and social events at KIMEP University
  • Perform other related duties assigned by the supervisor

Outgoing mobility

  • Announce calls on exchange programs for interested students/staff and provide instructions about the study abroad process, pre-departure requirements, concurrent enrollment, and financial aid
  • Verify submitted documents (for example certificates)
  • Oversee and ensure the accuracy of the selection process for exchange students and administrative staff using the designated software program
  • Coordinate the selection process for faculty members in collaboration with the Selection Committee
  • Coordination of summer schools and dual-degree programs
  • Deliver informational, orientation and pre-departure orientation sessions
  • Organize exchange alumni clubs
  • Provide emergency support to students/staff during mobility program
  • Provide support on course transfer procedure.

Incoming mobility

  • Announce calls on exchange program at KIMEP for partner universities and provide instructions about the study process at KIMEP, pre-arrival and after-arrival requirements, enrollment
  • Provide instructions, guidance, and support to incoming exchange students on the admissions process, visa requirements, accommodation, cultural adjustment, and other university procedures
  • Work with Admissions Office to facilitate student admissions to KIMEP and documentation necessary to apply for their student visas
  • Work with Housing department to help with housing, if desired, for students and staff
  • Provide inbound exchange student orientation
  • Provide general advising and assistance to students/staff throughout the exchange period
  • Coordinate events to support the adaptation of inbound students, including but not limited to the welcome party, culture day, and farewell party
  • Forward transcripts of exchange students to the partner coordinators.

Minimum Qualifications:

Bachelor degree

Ability to work effectively with staff, faculty members and students

High level of accuracy and attention to detail

Ability to write business correspondence in English and Russian

High levels of efficiency and an ability to work under pressure and within tight deadlines

Understanding of the importance of communication and feedback

Preferred Qualifications: Master’s degree, Kazakh language proficiency, familiarity with Western educational systems, work experience in higher educational institutions, working experience in multinational environment.
