Key Responsibilities:

Vendor and Supplier Management:

  • Identify, evaluate, and pre-qualify suppliers in accordance with company policies.
  • Foster robust relationships with suppliers to ensure availability of high-quality goods and services.
  • Conduct regular performance reviews and manage any issues with suppliers proactively.

Tendering and Proposal Management:

  • Develop and execute comprehensive tendering processes, including Requests for Proposals (RFPs) and Requests for Quotations (RFQs).
  • Coordinate the preparation of tender documents, ensuring clarity and compliance with legal and company standards.
  • Evaluate vendor responses, assess bids, and provide recommendations based on price, quality, and service.

Negotiation and Contract Management:

  • Lead negotiations to secure favorable pricing, terms, and conditions following tender evaluations.
  • Draft, review, and manage supplier contracts ensuring compliance with legal and company standards.
  • Coordinate with legal and compliance teams to mitigate risks associated with procurement activities.

Sourcing Strategy Development:

  • Develop and implement sourcing strategies that align with business objectives and enhance operational efficiency.
  • Conduct market analysis to remain informed of industry trends and competitive pricing.
  • Work collaboratively with cross-functional teams to identify business needs and sourcing opportunities.

Operational Procurement:

  • Manage day-to-day procurement operations, including processing purchase orders and requisitions.
  • Monitor delivery schedules and resolve any delays or quality concerns.
  • Ensure accurate documentation and record keeping in procurement systems.

Financial Management:

  • Conduct spend analysis to identify cost-saving opportunities and drive efficiencies.
  • Assist in budgeting processes by providing cost forecasts and procurement insights.
  • Monitor procurement expenditures and report discrepancies or variances.

Compliance and Risk Management:

  • Ensure procurement activities comply with internal policies and external regulations.
  • Identify and mitigate procurement-related risks.
  • Monitor and enforce ethical procurement practices across the firm.

Reporting and Analytics:

  • Develop comprehensive procurement reports for senior management.
  • Track and analyze key procurement metrics to assess performance and identify opportunities for improvement.

Innovation and Continuous Improvement:

  • Stay updated on industry best practices, technologies, and tools to enhance procurement capabilities.

Skills and Qualifications:

  • Bachelor’s degree in Business, Supply Chain Management, Finance, or related field.
  • Several years of experience in procurement, including experience in tendering processes, preferably within a professional services environment.
  • Strong negotiation and contract management skills.
  • Excellent analytical skills and attention to detail.
  • Proficiency in procurement software and ERP systems.
  • Strong interpersonal and communication skills.
  • Ability to work in a fast-paced, global environment.
  • Understanding of compliance and regulatory standards in procurement.
