Senior Operations & Client Delivery Manager (Onboarding & PMO)
About the Role
Our client seeking a highly experienced Senior Operations & Client Delivery Manager to join to Multi-Family Office. This is a critical, high-impact role that merges Client Onboarding, PMO (Project Management Office), and Service Delivery Coordination.
You will be the operational backbone of the client lifecycle: from the moment a client joins (onboarding, KYC, and system setup) through the execution of complex, multi-stakeholder wealth management and fiduciary projects. This is not an administrative support role; it is a position for a professional "orchestrator" who can manage complex workstreams in a regulated, high-confidentiality environment and work with RM.
Key Responsibilities
1. End-to-End Onboarding & Activation

Lead the initial setup for new UHNW clients, ensuring a seamless transition into the office ecosystem.

Coordinate the full KYC/AML/CDD process: collect, validate, and structure complex documentation for internal compliance and external partner banks (UAE, RU, KZ, EU, UK, Switzerland, etc.).

Manage the "activation" of all retainer services, ensuring the client’s asset register and service scope are correctly mapped and launched.
2. Project Management & Workflow Orchestration (PMO)

Act as the central "Control Tower" for complex client cases involving internal SMEs (Tax, Legal, Investment), external advisors, and cross-border providers.

Develop and maintain detailed project plans (Gantt charts, milestone trackers) and dependency logs.

Transform complex, high-level instructions into structured action plans with clear owners and executable deliverables.
3. Governance, Reporting & Accountability

Maintain the master Action Log and CRM as the single source of truth for all client statuses, deadlines, and history.

Oversee Document Control: manage secure data rooms, maintain naming conventions, and ensure the integrity of the client’s digital archive.

Monitor SLAs (Service Level Agreements) and delivery against the Scope of Work (SoW) to prevent budget/time overruns.

Facilitate weekly status meetings, provide "Owner’s Control Tower" reporting, and proactively identify execution risks or blockers.
Candidate Requirements
Mandatory Experience:

5+ years of experience in Project Management, Onboarding, or Operations within a Multi-Family Office, Private Banking, Fiduciary or Wealth Management firm.

Proven track record of managing HNW/UHNW client workstreams involving multiple jurisdictions and complex legal/corporate structures.

Deep expertise in KYC/AML documentation and the requirements of top-tier international financial institutions.

Fluent English and Russian (written and spoken) is mandatory.
Technical & Operational Skills:

Advanced proficiency in PM tools (Monday.com, Asana, Jira, Notion, or Airtable) and CRM systems (HubSpot, Salesforce, or similar).

Experience building reporting dashboards and tracking logs for senior stakeholders.

Strong understanding of Delivery Governance: task ownership, escalation paths, and follow-up discipline.
