KEY RESPONSIBILITIES
· Monitoring office supplies and maintaining a friendly yet professional environment for all members of staff and visitors to the office,
· Answering incoming calls and welcoming guests to the office,
· Liaising with IT support and phone line providers on all technical issues and maintaining an up to date contact list,
· Assisting with mailshots and printing of outgoing communication, and building strong client and supplier relationships by
· Assisting the overall team with ad-hoc requirements such as sourcing venues, organizing print runs and preparation for internal and external meetings,
· Organinsing internal social events,
· Obtaining quotes from maintenance contractors, overseeing works carried out for all office related repairs and maintaining communication with the property management company with maintenance, keys, alarms systems, etc,
· Keeping the whole office on track and working,
· Supporting the HR and the Legal department with staff holiday file and legal files, scheduling performance and pay reviews and management of new starter desks, organizing work experience timetables
· Providing PA support to senior staff i.e; booking travel, diary management expenses,
Requirements:
-
· 2+ years of experience in similar position
· Confident in working accurately to deadlines
· Good planning and organization skills
· Must have a confident telephone manner
· Must have excellent PC skills
· Be able to work as part of a team and also be able to use own initiative
· Must be confident to be able undertake all Administration duties
· Must be flexible to undertake any other reasonable duties as requested
· FLUENT English is a must
