Position Overview:

The main HR Ops duties will include maintaining personnel records, managing HR documents, operating the local payroll system, and updating internal databases in representative offices. There are a total of 60 people across the representative offices, excluding the headquarters. Our ideal candidate should have experience with HR procedures, be familiar with local labor laws, and be able to handle various HR Ops tasks in a timely manner.

You will commence employment at the Moscow office for 3-4 months before relocating to Cyprus. We only consider candidates willing to relocate.

Key Responsibilities:

  • Conduct HR audits in countries where the company operates (mainly Russia and Cyprus).
  • Manage and control the organization’s HR documentation: preparing and processing employment contracts and service agreements, personal orders, employment books, and other labor-related documents. Handling adjustments to employment contracts.
  • Work with HR Information Systems (HRIS), ensuring timely entry of current and archival data and preparing analytics upon request.
  • Operate the local payroll system to update employee data for the current month.
  • Draft and sign the employee bonus letters.
  • Liaise with government bodies on various HR matters.
  • Familiarize employees with the company’s internal regulations and keep them updated.
  • Prepare and maintain non-compete agreements and their database.
  • Keep records of working hours, vacations, sick leaves, and other absences.
  • Administer benefits and perks at the location.
  • Prepare HR reports and employment certificates.
  • Prepare necessary internal instructions for managers.
  • Participate in related HR projects as requested by the manager.
  • Support the Tax Manager in preparing tax declarations for employees in different locations.
  • Prepare and process documentation for official internships.
  • Handle occupational safety: manage safety policies at the location, maintain safe working conditions, and participate in accident investigations and workplace condition assessments.

Requirements:

  • Minimum 3+ years of experience in the HR Ops stream.
  • Good knowledge of Russian employment laws.
  • Proven experience in managing a global HR team with a strong understanding of international HR practices.
  • Thorough knowledge of HR processes and procedures (HR operations/C&B/absenteeism/safety at work etc), experience with HRIS.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proactive and solution-oriented mindset.
  • Attentiveness to the details.
  • Strong communication, interpersonal, and organizational skills.
  • Fluent in English and Russian;
