Objectives / Job Purpose:
- Provide a professional assistance both in business and in private issues to the General Manager
- Take over all administrative and routine work from the General Manager
- Be a reliable and responsible contacts center for General Manager
Duties and responsibilities:
Support in Business:
- Prepares PP presentations, reports and follows up on them
- Manages contacts, networking / connections (business cards, sending greetings etc.)
- Write down and distribute the meetings minutes
Organizational support:
- Arranges all travel, meetings, picks up, conference room and restaurants etc.
- Plans agenda for all trips and meetings, schedules all meetings via getting into details (e.g., who is meeting with and making sure it makes sense): Monthly Management Meeting, Annual BP / RE Meetings and other Company meetings.
- Hosts international guests (inl. visas, accommodation, travel, etc.)
Budget:
- Supports General Manager in annual planning and budgeting process for all staff activities, as well as controls internal meetings and entertainment budgets.
E-mails:
- Manages GM’s mail box: does follows up, sends and answers e-mails.
Corporate Events:
- Arrange meetings and events for 200+ participants
Requirements:
- Has at least 3 years experience of PA / Executive Assistant for Company Head, Management
- Team member
- Advanced PC-user, experienced in Power Point and Excel,
- Fluent English
- Proactive, initiative
- Thinking ahead, able to solve problems independently
- Likes to deal with details
- Excellent communication skills, able to negotiate with embassies and other institutions
- Energetic
- Motivated to work for a long time on this position
