Job Summary:
The Procurement Associate assists in the procurement process to acquire goods and services necessary for the organization’s operations. This role is responsible for sourcing, negotiating, and managing supplier relationships, ensuring quality standards, and maintaining accurate records for all purchasing activities.
Essential duties & responsibilities:
- Identify potential suppliers and establish relationships with vendors that align with the organization’s quality and pricing standards.
- Evaluate suppliers based on cost, quality, service, and reliability.
- Manage ongoing relationships with suppliers and resolve any issues related to orders, deliveries, quality, or payments.
- Track and monitor the status of purchase orders, ensuring quality and timely delivery of products and services.
- Work with internal teams to confirm receipt and compliance of delivered goods with original purchase specifications.
- Negotiate pricing, terms, and contracts with vendors to ensure cost-effectiveness.
- Analyze market trends and recommend adjustments to procurement strategies as needed.
- Maintain and monitor budget limits, looking for ways to reduce procurement costs.
- Conduct cost analyses to compare suppliers, evaluate offers, and suggest cost-saving options.
- Maintain delivery and customs clearance of goods.
- Maintain accurate and up-to-date records of all procurement transactions.
- Ensure procurement processes comply with company policies and industry regulations.
- Assist in maintaining proper documentation for audits and legal compliance.
- Collaborate with departments such as finance and operations to align procurement strategies with business needs.
- Generate reports on procurement metrics, supplier performance, and cost savings.
- Analyze procurement data to support strategic decision-making and process improvement.
Education / Experience:
- Bachelor's degree in engineering.
- Some experience in procurement, supply chain, or a related role.
Qualifications/ Knowledge:
- Fluency in English, Russian, and Mandarin.
- Proficiency with Microsoft Word and Excel.
- Strong analytical and negotiation skills.
- Excellent communication and interpersonal skills.
- Detail-oriented with strong organizational abilities.
- Knowledge of procurement principles, policies, and industry standards
- Team-oriented and able to work independently.
- Strong ethical standards and a high level of integrity.
- Ability to manage multiple tasks and prioritize effectively.
Work Environment:
This role typically operates in an office environment but may require occasional travel to supplier sites.
