Personal Assistant to the General Manager
The ideal candidate for the job of an Personal Assistant will be required to handle administrative tasks that help to support the General Manager. The position is expected to work with or without supervision of the GM, as per the demands of the tasks.
Responsibilities:
- Provides interpretation services for the General Manager from Russian to English and English to Russian as required;
- Gives documents for GM’s signature and organizes correspondence, makes record keeping (completes letters/memorandums, requests etc.);
- Records minutes of all meetings chaired by the General Manager, including all Daily Operational Meetings and Executive Committee Meetings;
- Provides an orderly and effective message system for the General Manager;
- Ensures effective communications between Executive Office and Heads of Departments;
- Treats all information both verbal and written, which is of a sensitive or confidential nature in strict confidence and ensures confidentiality of the General Manager’s Office in every respect;
- Provides hospitality to guests/customers visiting the Executive Office, i.e. Tea, Coffee, Juice or Water;
- Enters appointments in General Manager’s diary, keeps a duplicate record in own diary and alerts General Manager in advance of appointments;
- Responds to requests for information and complaints, refers matters to appropriate Heads of Departments (HODs), takes or recommends action to resolve the request or complaint;
- Acts as liaison in coordinating matters between the General Manager's Office and other department heads and managers;
- Operates a “Trace” system of action to be taken by Heads of Departments based upon date/time deadlines. Sends reminders to Heads of Department as required;
- Understands guests/customers needs and requirements to maintain effective quality control process and high standards of performance;
- Briefs General Manager regularly on key issues or information, which is considered that he should be aware of;
- Communicates with guests as and when needed on behalf of the General Manager;
- Organizes travel trips for General Manager;
- Executes any other administrative duties as assigned from time to time;
- Generates responses to guest feedback and address any issues which could impact on guest satisfaction;
- Drafts and writes high quality reports and presentations, as required by the Hotel General Manager;
- Organizes internal hotel events when required.
Requirements:
- A minimum of 3 years work experience in similar position in an international company;
- Excellent command in English, both spoken and written. Proper formal style of communication in both languages;
- Ability to prioritize, organize and complete work assignments;
- Excellent presentation;
- Flexibility regarding working hours with business needs essential;
- Strong interpersonal and cross-cultural communication skill;
- Previous bilingual and luxury hospitality experience a plus.
