Business assistant to Shareholder

Work: permanent, fully remote

Key responsibilities:

Information management & systemization:

  • Creating and maintaining a unified digital ecosystem for storing project data, documents, and artifacts
  • Ensuring cleanliness, order, and easy access to information within file structures and workspaces

Communication & coordination:

  • Conducting professional correspondence with clients and contractors in English and Russian
  • Organizing and participating in internal and external online meetings, preparing materials, and follow-ups
  • Maintaining clear communication flows within the distributed team

Analytics & research (business intelligence):

  • Conducting market research, competitor analysis, and identifying new business opportunities
  • Analyzing data on current projects, identifying trends, and preparing analytical reports and recommendations
  • Building and maintaining dashboards and reports in Google Sheets/Excel

Support of business processes & creative projects:

  • Assisting in packaging and documenting creative projects and initiatives
  • Participating in testing and launching new products and tools, including AI solutions
  • Coordinating work with external contractors
  • Managing project financial analytics: calculating and tracking income/expenses
  • Developing and optimizing workflows and processes

Main requirements:

  • 3-4 years of work experience as a business assistant
  • Fluent English (C1-C2 level)
  • Proficiency with tools: Google Workspace (Docs, Sheets, Slides), Notion, Miro, Slack, AI
  • Financial management skills is a plus (calculations, budgets, P&L)
  • Experience building analytical reports and dashboards
  • Proactivity: Ability to identify tasks and propose solutions without waiting for instructions
  • Result-oriented approach and ability to work in a fast-paced, multitasking environment (stress resistance)
