Position Summary:

We are seeking a highly experienced Personal Assistant to provide comprehensive, 24/7 support to members of the Board of Directors.

This is a truly international role, supporting executives located across multiple jurisdictions and time zones. The successful candidate must be comfortable operating in a global environment, managing complex cross-border schedules and remaining responsive outside standard working hours.

The role is primarily remote, with occasional international travel. Candidate location is flexible.

This position requires an individual accustomed to supporting exceptionally demanding senior principals and UHNWI, where discretion, precision and service standards are non-negotiable.

The successful candidate will be meticulous, proactive, discreet and unflappable under pressure - someone who anticipates needs, resolves issues independently and ensures nothing is overlooked.

Responsibilities:

  • 24/7 full administrative and personal support to Board members across multiple time zones

  • Complex international calendar management - scheduling, prioritisation, conflict prevention and last-minute adjustments

  • International travel management - flights, accommodation, visas, detailed itineraries and contingency planning

  • Preparation and coordination of meetings, calls and conferences - agendas, materials, participants, minute-taking and follow-ups

  • Coordination and administration of legal document signatures

  • Management of information inboxes and correspondence

  • Expenses tracking and reimbursement administration

  • Liaison with internal teams, external partners and service providers globally

  • Handling sensitive and confidential information with absolute discretion

  • Proactive reminders, follow-ups and resolution of ad-hoc issues

Requirements:

  • Full professional fluency in English (written and spoken) is essential

  • 5+ years’ experience as a Personal or Executive Assistant at senior international level

  • Proven experience supporting UHNWI

  • Demonstrated experience operating in an international, multi-time-zone environment

  • Experience within a fast-paced technology or international business environment

  • Exceptional organisational and time management skills

  • Strong ability to multi-task across jurisdictions and priorities

  • Calm under pressure with excellent problem-solving capability

  • High level of discretion and confidentiality

  • Strong command of MS Office and digital collaboration tools

  • Able to work independently while integrating effectively with a wider team

  • Detail-oriented with a zero-error mindset
